How do you build a prospect list?

The difference between a bought list and one you built yourself is freshness. Here are the sources and the verification step.

How do you build a list of target companies?

Building a prospect list goes in this order: write the description first (industry, headcount, city, job title), then work the sources, then verify every row. Chamber of commerce registries, trade association members, trade show exhibitor lists and job boards are free and more current than most lists on sale. Sending to an unverified list damages your domain reputation within a week.

In short

  • The list starts with a description; without one it is a pile, not a list.
  • Chambers of commerce, association member lists and exhibitor lists are the freshest free sources.
  • A company hiring for a role is a company spending in that area.
  • Verify every address before sending; bounce rate must stay under two per cent.

Description first, sources second

Starting with sources is the most common mistake. Every row collected before the description exists is a row you will delete later.

The description has four fields: industry, headcount range, city or country, and the job title that decides. Write all four and the right sources become obvious.

Free sources that stay current

These are free and fresher than most purchased lists, because companies maintain these entries themselves.

  • Chamber of commerce and industry member directories.
  • Trade association member lists.
  • Trade show exhibitor lists: exhibiting means they budgeted this year.
  • Job boards: a company hiring in an area is growing in that area.
  • Export association registries.
  • Your competitor's customer and reference pages.

Finding the person and the address

Once you have the company you need the right person. Checking the team page on their own site and professional networks gives better results than any purchased list.

Email address patterns are consistent within a company: first.last, firstlast, or initial plus last. Where the pattern is known the address can be inferred, but every inferred address has to be verified before you send.

Three agents run the part of these steps that repeats every week: defining the audience, building the list, writing each email for the person, and following up on the reply.

Why verification is not optional

Every email to a dead address bounces, and bounce rate is the signal spam filters treat most harshly. Above two per cent, sending reputation degrades quickly.

So however good the source, address verification is not a step to skip. It removes about a tenth of the list and gets the other nine tenths delivered.

Buying a list

The problem with bought lists is not price, it is date. The same list is sold to hundreds of companies, so the same people receive many emails in the same month and complaint rates climb.

Building your own takes longer, but the description you write once gets reused every week. Pocufy takes over that repetition: it derives the description from your site, finds matching companies and verifies each row.

Common questions

  • Thirty to start. Thirty companies will tell you within three weeks whether your description is right. Starting with a thousand means building a thousand emails on top of a description you have not tested.

  • Up to a hundred rows, yes. After that you start writing to the same company twice and losing the last-contact date, which is the point to move to CRM software.

  • Collecting business contact details from public sources is common practice. The obligations attach to use rather than collection: publish a privacy notice, honour opt-outs, and do not repurpose the data. Confirm the rules for the markets you send to.
