Why don't my emails arrive?

Whether your email gets read depends on three DNS records set up before it is ever sent. This page covers those three records and Pocufy's sending rules.

Why do my emails land in the spam folder?

There are three common reasons an email lands in spam: an unverified sending address, a sudden jump in daily volume, and content that looks like a bulk send. Verification is done with SPF, DKIM and DMARC records. Pocufy checks all three during setup, raises the daily number in steps on a warm-up plan, and stops the campaign itself when the bounce rate climbs.

Three records, three separate jobs

SPF
Lists who may send email on behalf of your domain. If it is not updated when you add a new sending tool, the email cannot pass verification.
DKIM
Signs the email with your domain's key. The receiving server checks the signature against the public key in DNS and sees the content was not altered in transit.
DMARC
Says what should happen when SPF and DKIM fail, and reports who is sending in your name.

What happens during setup

  1. 01Connect your mailboxYou connect your own mailbox with Google Workspace, Microsoft 365, or SMTP and IMAP.
  2. 02Check the domain recordsSPF, DKIM and DMARC are read; if anything is missing you are shown which record to add and how.
  3. 03Turn on the warm-up planThe daily volume starts low and climbs in steps, never jumping.
  4. 04Set the stopping rulesIf the bounce or complaint rate crosses the limit, the campaign stops itself.

In short

  • The problem is usually not the content of the email but an unverified sending address: nothing written without SPF, DKIM and DMARC in place is trusted.
  • Sending hundreds of emails on day one from a newly connected mailbox is the fastest way to ruin your address's reputation.
  • In a shared sending pool what another company does affects your emails too; sending from your own address cuts that off.
  • When the bounce rate rises, stopping is always cheaper than carrying on.

policy

A sending setup that cannot stop cannot arrive either.

  • It stops at the limit

Bounce and complaint rates are watched; at the limit the campaign halts.

  • Out means out

Anyone who says they are not interested goes onto a permanent blocklist.

  • One person, one campaign

Nobody can sit in two campaigns at the same time.

Questions about sending

  • No. Your domain and your mailbox stay yours. Pocufy only sends with the permission you grant, and you can withdraw it at any moment.

  • The record lives in your DNS panel, so you or whoever manages your domain adds it. Pocufy shows which record to add with which value, and verifies it once it is in.

  • If you are going to send in high volume, a separate sending domain is a common choice to protect your main domain's reputation. For low-volume, personalised sending your main domain works better, because the recipient recognises the address.

  • It depends on the mailbox's history. On a never-used mailbox it can take a few weeks; on an actively used one it is shorter. The plan is visible day by day on the dashboard.
