How do you write a company introduction email?
Nobody wants to read an introduction. Which is why the job of an introduction email is not to introduce, but to earn a reply.

How do you write a company introduction email that gets replies?
A company introduction email is the first message you send to an organisation that has never heard of you. The version that works puts their business at the centre, not yours: the first sentence carries a concrete fact about their company, the second says what you do in one line, the third gives a specific result from a similar customer. It closes with a small request, not a pitch.
In short
- Open with something about their business, never with your company history.
- If what you do does not fit in one sentence, the email is already too long.
- Brochures and decks do not belong in the first email.
- The closing line asks for fifteen minutes, not for the sale.
What an introduction email actually is
It is the first email you send to a company that does not know you, explaining what you do. It is not a newsletter: it goes to one organisation and usually to one person.
The name is misleading. A good introduction email contains very little introduction. The reader is not curious about you, they are looking for something that solves a problem of theirs. Accept that order and replies start arriving.
The four-part structure
These four parts are the whole email. Each is one or two sentences.
- The hook: a concrete fact about their company that is true this month.
- What you do: one sentence, no jargon.
- Proof: a specific result from a similar customer, with a number.
- The ask: fifteen minutes, or an answer to one question.
Example: manufacturer to manufacturer
"Hello Kemal, I saw you announced a second plant in Bursa. We build packaging lines. At a plant of similar size last year we cut commissioning from six weeks to three. There are two things worth knowing while you plan the second line and I can cover them in fifteen minutes. Are you free this week?"
Four sentences, no company history, one request. You could not send that same text to another company without rewriting it, which is exactly the proof that it was written properly.

Three agents run the part of these steps that repeats every week: defining the audience, building the list, writing each email for the person, and following up on the reply.
When do you send the brochure?
Not with the first email. A first email carrying an attachment is both more likely to be filtered and more likely to feel like homework to the reader.
The right order is: the first email measures interest, and if interest comes back, the second email carries the document. That way the document only goes to people who will actually open it.
How many companies should you write to?
Thirty to fifty a week is the ceiling one person can sustain by hand. Past that the text starts repeating itself, and repeated text loses replies quickly.
If you want more volume without losing personalisation, the research step is the part to hand over. Pocufy reads each company, drafts the hook sentence, and leaves the final approval with you.
Common questions
Almost. A cold email is any first email to someone you have never spoken to. An introduction email is the version that leans on explaining your company. The structure and the rules are identical.
Check three things in order: are the emails arriving at all (domain records), are they going to the person who decides, and does the first sentence belong to their company. If all three hold, the email is too long.
One at a time. Sending the same text to two colleagues costs you credibility the moment they compare notes. If nobody replies, write to the second person two weeks later.
