What is email automation and how do you set it up?
Email automation is a sending arrangement where rules decide who is written to and when. What separates it from bulk email is that not everybody gets the same text and anyone who replies drops out of the sequence automatically. Setting it up is four steps: connect your mailbox, verify your domain records, raise the daily volume in steps on a warm-up plan, and put anyone who says no on a permanent blocklist.
Is bulk email the same as email automation?
It is not. With bulk email the same text goes to everybody at once, usually from a shared server. With automation each person gets their own text, from your own address, sent one at a time.
You see the difference in the outcome: bulk email most likely lands in the promotions tab; a personal email sent one at a time lands in the inbox.
The order of setup
The order matters. Starting to send before the records are in place damages your domain's reputation in the first week, and recovering it takes months.
- Connect your own mailbox (Google Workspace, Microsoft 365 or SMTP/IMAP).
- Set up and verify your SPF, DKIM and DMARC records.
- Start the daily volume low and raise it in steps on a warm-up plan.
- Write the follow-up sequence: first email, short follow-up three days later, then stop.
- Drop anyone who replies out of the sequence, and anyone not interested out of every campaign.

Three agents run the part of these steps that repeats every week: defining the audience, building the list, writing each email for the person, and following up on the reply.
What should stop the automation?
When the bounce rate rises, sending should stop by itself. Carrying on into dead addresses signals to spam filters that this sender does not know their own list.
The second stopping rule is a human: reading every outgoing email in the first week is the fastest way to see whether the text has landed.
Common questions
You do not have to, but it is strongly recommended. Emails leaving a shared sending pool are affected by the spam history of everyone else using it. From your own address, both the reputation and the control stay with you.
That is your call. In automatic mode the software drafts and sends the reply; in approval mode it drafts and you read it before sending. Either way the entire thread sits on the dashboard.
